This Privacy Policy explains how Freelance Fast collects and uses personal data when you visit the website, use the chat agent, create or apply to projects, sign in with GitHub, receive notifications, or contact support.

Main hosting is provided by Fly.io in Frankfurt am Main, Germany, using the Fly.io FRA region. Some third-party providers listed below may process data in other countries.

1. Data We Process

  • Contact and identity data, such as name, email address, phone number, Telegram identifiers, GitHub identifier, and contact preferences.
  • Client chat data, including messages, consent status, project details, follow-up answers, conversation summaries, classification labels, and routing metadata.
  • Project data, including original requests, cleaned briefs, public anonymous project text, tags, status, admin review notes, applications, handoff status, and dispute notes.
  • Freelancer data, including GitHub-derived public profile information, profile text, skills, preferences, availability, proposals, applications, subscription status, and billing metadata.
  • Technical and security data, such as IP address, device and browser data, request logs, session cookies, error logs, security events, and rate-limit signals.
  • Legal and support data, including privacy requests, deletion requests, accounting records, complaints, correspondence, and operational records needed to protect the service.

2. Sources of Data

We receive data directly from you when you use the website, chat agent, GitHub sign-in, forms, support channels, or payment flows. We may also receive limited data from third-party platforms you choose to use with the service, including Telegram, GitHub, payment providers, infrastructure providers, and security or monitoring tools. If a client includes another person's data in a project brief, the client is responsible for having a lawful basis to share it.

3. Why We Use Data

  • To answer chat messages and help clients describe projects.
  • To record Terms consent before saving actionable project and contact details.
  • To clean project text before public posting, notifications, and project visibility.
  • To review projects, manage applications, coordinate handoffs, and provide support.
  • To authenticate freelancers with GitHub and manage subscriptions or founding access.
  • To secure the service, prevent abuse, debug incidents, and comply with legal duties.
  • To respond to privacy, deletion, objection, portability, and complaint requests.

4. Legal Bases

  • Contract or pre-contract steps when you ask us to create a project, apply as a freelancer, manage an account, or provide the service.
  • Legitimate interests in operating, improving, securing, debugging, and protecting Freelance Fast, unless your rights override those interests.
  • Consent where the product asks you to accept Terms, receive optional communications, or enable non-essential cookies or similar technologies.
  • Legal obligations for accounting, tax, compliance, authority requests, dispute handling, and record keeping.

5. AI-Assisted Processing

Freelance Fast uses AI as an assistant for chat understanding, clarifying questions, drafting replies, cleaning project briefs, detecting unsafe requests, formatting, translating, summarizing public GitHub information, and helping admins review the workflow. AI requests are routed through OpenRouter. The currently configured production-facing models include openrouter:inclusionai/ling-2.6-flash for assistant/smart chat work and openrouter:meta-llama/llama-3.1-8b-instruct for classification, unless the deployment is changed by environment configuration.

We do not intentionally send direct client contact details, passwords, production secrets, private repository content, or unnecessary client-identifying information to AI tools. If you put personal or confidential details inside a free-text message, the message may still be processed to respond to you and manage the request. Please share only what is needed.

AI is not used to score, rank, reject, approve, shortlist, or evaluate freelancers. Project visibility is based on explicit tags, preferences, and deterministic database fields.

6. Sharing Data

We share data only where needed to provide, secure, bill, support, or legally protect Freelance Fast. Recipients may include:

  • Fly.io for hosting in the Frankfurt am Main region.
  • Telegram and related messaging tools for chat communication.
  • GitHub for freelancer sign-in and public profile information.
  • Stripe for freelancer subscriptions, billing, payment status, and invoices.
  • OpenRouter for AI routing and text-processing features, with downstream model providers depending on the selected model and privacy settings.
  • Google Analytics for aggregate website analytics where analytics consent is accepted.
  • Database, storage, monitoring, security, email, and notification providers.
  • Professional advisers, authorities, courts, or counterparties when required.

We do not sell personal data. Client contact details are not shown to freelancers while browsing or applying; they are shared only at the handoff stage described in the Terms.

7. International Transfers

Main hosting is in Germany. Some providers may process data outside the European Economic Area. Where this happens, we rely on safeguards such as adequacy decisions, Standard Contractual Clauses, provider transfer mechanisms, or other measures recognized by applicable data protection law.

8. Retention

We keep data only as long as needed for chat operation, project review, project visibility, applications, subscription administration, security, abuse prevention, accounting, dispute handling, legal obligations, and service improvement. As a default product rule, chat messages and project records are kept for up to 1 year unless they are deleted earlier or a longer retention period is required for disputes, security, accounting, or legal duties.

  • Account and freelancer profile data is kept while the account is active.
  • Chat messages and conversation records are kept for up to 1 year.
  • Project and application records are kept for up to 1 year, unless needed longer for an active project, dispute, security issue, accounting, or legal duty.
  • Accounting and tax records are kept for the period required by Italian law.
  • Security and technical logs are kept for a limited period unless needed for an incident.
  • When a user deletion request is confirmed, we delete or anonymize the user's personal data, messages, projects, applications, profile, and sessions where technically possible, while keeping only records that must be retained for accounting, security, disputes, or legal duties.

9. Cookies and Tracking

We use essential cookies for sessions, security, GitHub freelancer login, and service operation. Google Analytics is used only where analytics consent is accepted. Advertising, profiling, or similar non-essential cookies should be used only after valid consent. You can manage cookie choices from the cookie banner or the Cookies page.

10. Your Rights

Depending on the context, you may have the right to access your data, correct it, delete it, restrict processing, object to processing, request portability, withdraw consent, and lodge a complaint with a supervisory authority. In Italy, the supervisory authority is the Garante per la protezione dei dati personali.

We may need to verify your identity before responding. We normally respond within one month, unless the request is complex or the law allows more time.

11. Minors

Freelance Fast is intended for adults and business users. Do not use the service if you are not legally able to enter into these Terms or provide the required consent in your country.
